Add, edit and delete wallets

A wallet keeps each place your money lives separate: your bank account, the cash in your pocket, your credit card. In three steps we show how to add, edit and delete a wallet, and what happens to its transactions when you delete it.

Your money isn't in one place: your salary lands in your bank account, you carry some cash, and you shop with a credit card. A wallet keeps each of these separate. Every transaction is recorded in a wallet, each wallet shows its own balance, and Total balance on the Finance screen brings all your money wallets together.

Let's go through adding, editing and deleting a wallet, step by step. All your wallets live in the panel on the left of the Finance screen, on the Wallets tab.

1
Add a new wallet
On the Wallets tab, click the Add wallet + button above the list. Wallet kind sits at the very top of the window: for your bank account, cash or card, leave Money selected. Asset is for gold, crypto and stocks, and Debt is for loans and card debt; this article covers the Money wallet. Then give your wallet a name. In the first box to the left of the name you can pick an icon, for example 🏦 for your bank account or 💵 for the cash in your pocket. In the box next to it, the one marked "A", you pick a color. The color you choose shows up in the name field right away. If you don't pick an icon, the wallet appears in the list in this color with the first letter of its name; if you pick one, the list shows the icon.
There is no balance field: a wallet starts empty. Finally pick the Currency and click Create. When the window closes, the transaction window opens on this wallet, so you enter the first income or expense right away. If the wallet already holds money, enter today's amount as an Income row. Pick the currency and the kind carefully: neither can be changed once the wallet exists.
A Debt wallet starts empty too. If you are already paying off a loan, enter the remaining debt not as income or expense but as a transfer from the debt wallet to None (untracked money), and set up the installments as a recurring transfer that starts on the next installment date. You will find the step-by-step guide in Transfer between wallets.
Adding a new wallet and using the Asset and Debt kinds are available on Pro and higher plans. On the Free plan, a money wallet called Cash is set up for you the first time you open Finance, and that is your one wallet. You can change its name, icon and color as in step two and use it for your bank account or your card. It starts with a zero balance; to enter the money you already have, just add the amount as an Income row.
Keeping wallets in a currency other than your main one is also available on Pro and higher plans; we explain how to keep a euro or pound account separate in Multi-currency budget tracking. The Monthly budget field below the currency and the Sharing section at the bottom of the window can only be used on Business and Enterprise plans; on other plans both appear faded. The monthly budget is optional, and the amount you enter shows on the Project Budget widget.

Edit a wallet
When you move your mouse over a wallet's row, two small buttons appear on the right. Click the pencil icon, or right-click the row and choose Edit. In the window that opens, change the wallet's name, icon and color and click Save; the new look shows up right away both in the list and next to your transactions.
In this window Current balance shows what the wallet holds today and cannot be edited by hand. Pumpynotes updates it with your transactions: every income raises it, every expense lowers it. A transfer lowers the balance of the wallet it leaves and raises the one it lands in. If the balance does not match your real account, add the difference as an income or expense row, so the correction leaves a trail too. The currency is locked and doesn't open, because it cannot change: it is the unit of every transaction in the wallet, and changing it later would make the old amounts wrong. In the wallet kind only the chosen kind stays active, the others are greyed out: the kind cannot change later either.

Delete a wallet
To delete a wallet you no longer use, hover over its row and click the trash icon, or right-click the row and choose Delete. Pumpynotes asks Delete wallet?; when you click Delete, the wallet disappears from the list.
There's one thing you should know before deleting: the wallet doesn't go alone. It moves to the Trash together with all its transactions, so the deleted wallet's transactions no longer affect your totals and charts. Depending on your plan, the transactions stay in the trash for 7 to 30 days, and during that time you can restore them one by one. Transactions you restore from the trash return without being linked to any wallet. To bring the wallet back together with its transactions, Undo this deletion on the History page; Ctrl/Cmd + Z in Finance does the same. You'll find the details in Restore something you deleted from the trash.
If you'd rather take a wallet out of the totals on screen for a while instead of deleting it, click the eye icon on the left of its row. It's only a filter and deletes nothing; it does the same job as the Wallet filter in the filter bar. We explain which numbers the wallet filter changes in Filter your transactions by date and category. Clicking the row itself, that is the name, does the opposite: only that wallet stays and the others are left out for the moment; click again and you are back to the previous selection. Category rows have the same two gestures.

Frequently asked questions

My wallet's balance looks wrong. How do I fix it?

The balance is the sum of the wallet's transactions; it is not typed in. Look at the list first: is a transaction missing or duplicated? If not, add the difference as an income or expense row, named something like "Balance correction". The balance is right at once; since the correction is a transaction, it also shows in that month's income or expense total.

Can I change a wallet's currency later?

No, the currency is chosen when you create the wallet and doesn't change afterwards. If you need another currency, create a new wallet in that currency. Choosing a currency other than your main one is available on Pro and higher plans.

Can I change a wallet's kind later?

No. Money, Asset or Debt: the kind is chosen when you create the wallet and doesn't change afterwards; in the edit window only the selected kind stays active. If you need a wallet of another kind, create a new one. The Asset and Debt kinds are available on Pro and higher plans.

What happens if I delete my only wallet?

Every new transaction you add is recorded in a wallet, so Pumpynotes never leaves you without one. The moment you delete your last wallet, a new wallet called Cash with a zero balance is created automatically. You can change its name, icon and color as in step two.

How many wallets can I have?

On the Free plan your one wallet is the Cash wallet set up the first time you open Finance; to add a new wallet you need to upgrade your plan. On Pro and higher plans there's no limit on the number of wallets.

Does clicking the eye icon delete my wallet?

No. The eye icon only narrows what you see on screen: the transactions of the wallet you turn off drop out of the list, and its balance drops out of the total balance. The wallet and its transactions stay where they are; click the icon again and everything comes back.

Can I share my wallet with someone?

Yes, on Business and Enterprise plans. From the Sharing section in the wallet window you can share your wallet with people in your workspace and let them either only view it or also add, edit and delete transactions. Settings such as the wallet's name, color and deletion always stay with you. We cover every detail of sharing in Share notes, events and wallets.
