When you want to write a meeting agenda together with your team, have a shared event show up on everyone's calendar, or keep the team's spending in one wallet, sharing is there for exactly that. Every note, event and wallet you create in Pumpynotes starts out visible only to you; you decide who gets to see it and who can make changes. The options are the same for all three, so once you've learned one, you've learned them all.

1
Share a note
Open the note you want to share and, at the top of the page, click the Share button just to the left of the star. The Sharing window that opens gives you three options:

Private: Only you can see the note and its sub-pages. Notes you haven't shared stay this way.
Specific people: Only the teammates you choose can see the note. Click a person in the list to select them, and eye and pencil icons appear in their row: the eye means they can only view the note; the pencil means they can edit it. Each person you add starts with the eye selected, so you can give everyone their own level of access.
Whole workspace: Everyone in the workspace can see the note, including teammates who join later. Pick Can view or Can edit underneath to give everyone the same access.

Once you've made your choice, click Save; sharing takes effect right away. If you've shared the note with specific people, the button also shows how many, for example Share (2).

When you share a note, its sub-pages are shared with the same people too, including any sub-pages you add later. For example, if your Launch plan note has two sub-pages called "Press release" and "Budget", and you've shared the note with James with edit access, he can see and edit both of them as well. Someone with edit access can change the note's content, title, status and tags, and can add sub-pages too. Deleting, moving or duplicating the note and changing its sharing settings always remain yours alone.
2
Share an event
To share an event, click it on your calendar and, in the window that opens, switch to the Sharing tab at the bottom of the tabs on the left. Under Visibility, you'll see the same three options as for notes: Private, Specific people and Whole workspace. The tab is there when you add a new event too, so you can share the event while you're still creating it.

The options work just like they do for notes; only the access levels have different names: View and Edit and delete. When you choose specific people, you again give each person their own access with the eye or pencil icon. When you choose the whole workspace, everyone gets the same access, and the people who can view or edit the event are listed one by one underneath.

Once you're set, just click Update; for a new event, this button is called Add event. You can recognize an event you've shared in two places: a small check mark appears next to the Sharing tab in the window, and small avatars of the people you shared it with show up on its card in the monthly view.

There's one important difference from notes here: for events, edit access includes deleting. Someone with Edit and delete access can change the event's time, note and other details, and can delete the event if needed. Someone with View access can only see the event; when they open the window, they can't change any field. Either way, only you can change the sharing settings.

Share a wallet
To share a wallet, hover over its row on the Finance page and click the pencil icon that appears on the right; you can also right-click the row and choose Edit. You'll find the Sharing section at the very bottom of the Edit wallet window that opens. The options are the same as for notes and events: Private, Specific people and Whole workspace. The section is there when you add a new wallet too, so you can share the wallet while you're still setting it up. Once you've made your choice, just click Save (or Create for a new wallet). We cover the other settings in this window in Add, edit and delete wallets.

For a wallet, access applies to the transactions inside it, not to the wallet itself. Someone with View access can see the wallet and all its transactions but can't change any of them. Someone with Edit and delete access can add transactions to the wallet and can edit and delete every transaction in it, including the ones you added. When they add a new transaction, they'll see your wallet in the list along with your name. Changing the wallet's name, color and icon, editing its sharing settings and deleting the wallet always remain yours alone.

Find what's been shared with you
When someone shares something with you, where you'll find it depends on what they shared:

Notes: The Shared tab at the top of the Notes page gathers the notes shared with you in one place; the All tab holds only your own notes. When you open a shared note, the top of the page says "Shared with you"; if you can only view it, "View only" appears next to it as well.
Events: They appear on your calendar alongside your own events. In the monthly view, the small avatar on the card shows who shared the event, and the eye or pencil in the avatar's corner shows whether you can only view it or can edit it.
Wallets: They appear in your wallet list on the Finance page, next to your own wallets; the small avatar next to the wallet name shows who shared the wallet. If you can add transactions to it, you'll also see it in the wallet list when you add a new transaction. Transactions in such a wallet show a Shared tag. If the wallet was shared with you for viewing only, these transactions are locked: you can't open them to make changes or right-click to delete them; if you have edit permission, you can edit them just like your own.

When someone adds you under Specific people, you also get a notification under the bell icon, for example "Emma shared a note with you". Sharing with the whole workspace is silent: no notification is sent, and the shared note, event or wallet simply shows up in your list.

Change or turn off sharing
You can change sharing at any time; just go back to where you shared it: the Share button for a note, the Sharing tab for an event, the Sharing section for a wallet. You can change a person's access with the eye and pencil icons, click their row again to remove them from the list, or choose Private to turn sharing off completely. The change takes effect as soon as you save, and the person you remove isn't notified. If you shared something with the whole workspace and later want to limit it to specific people, you'll need to pick the people again, because the two options can't be used at the same time.

When a teammate leaves the workspace, or you or an admin remove them, they're automatically removed from everything you shared with them under Specific people. They also lose access to what you shared with the whole workspace, since they're no longer a member. Even if you invite them again, the old shares don't come back; you can share again if you like. Transactions they added to a wallet you shared stay in your wallet. You can find out how to remove someone from the workspace in Manage members and roles.

Frequently asked questions

Why can't I see the Share button or the Sharing tab?

Sharing is available on the Business and Enterprise plans. On other plans, the Share button doesn't appear on notes at all unless the note was already shared before, and the Sharing section is locked in the event and wallet windows. If your plan includes it, check whether you own that note, event or wallet: only the person who created it can manage its sharing. On a note that's been shared with you, you'll see "Shared with you" in place of this button. Your role in the workspace makes no difference; members can share what they create too. Finally, to share at all, there needs to be someone else in the workspace besides you; we explain how to invite a teammate in Invite a teammate to your workspace.

What happens to what I've shared if I downgrade my plan?

Your shares stay as they are; the people you shared with keep seeing the notes, events and wallets. The sharing window also stays available, so you can choose Private at any time to stop sharing. Specific people and Whole workspace, however, appear locked; to start a new share, you'll need to upgrade back to Business or Enterprise.

Can an admin see notes I haven't shared?

No. No one, including the owner and admins, can see notes, events or wallets you haven't shared. Only your sharing choices decide who sees something.

Can I reshare a note that was shared with me?

No. Only the owner of the note, event or wallet can change its sharing settings. If you'd like someone else to see it too, you can ask the owner to add them.

What happens if I delete a note I've shared?

As soon as the note goes to the Trash, the people you shared it with lose access. If you restore the note from the Trash, its sharing comes back with it. You can find out how to bring back deleted items in Restore something you deleted from the trash.
