Use more than one workspace

Open a new workspace to keep work and personal plans apart, and switch between your workspaces. In three steps, we'll also show you which details belong to the workspace and which belong to your account.

On Pro and above
On the Free plan, you can have one workspace of your own; if you signed up yourself, that's the workspace created when you signed up. For more, you'll need to move to the Pro or Business plan. You can join workspaces others invite you to on any plan.

Want to keep work and personal plans, or different projects, from getting mixed up? You can open a separate workspace for each one. Every workspace has its own notes, calendar and finances, and you can switch between them in a few clicks. Your profile, sign-in details and appearance settings stay the same in all of them.

1
What changes when you switch workspaces, and what stays the same?
Each workspace keeps its own content separate; nothing you create in one shows up in another.

What changes with the workspace: Your notes, events, wallets, transactions, categories, budgets and tags. History and Trash also show only what's in that workspace, and a search with Ctrl + K (Cmd + K on a Mac) looks only there too. The plan and the members belong to the workspace as well, so you might be on Pro in one workspace and on Free in another.
What stays the same everywhere: Your profile, email address, password and two-factor authentication, appearance settings, language, calendar settings and the layout of your Overview page. There's just one exception: in a workspace on a different plan, widgets that aren't part of that plan are hidden on Overview.
2
Create a new workspace
In the top bar, just to the left of the profile button, there's a button with the first letter of the workspace you're in; click it. In the menu that opens, you'll see the workspaces you're a member of. Choose New workspace at the bottom of the list, give the workspace a name in the window that opens, and then all you need to do is click Create.

The moment you click Create, you switch to the new workspace and land on its Overview page. Your notes, events and transactions start from scratch here; the ones in your other workspace stay right where they are. You're the owner of this workspace. It opens on the Free plan; if you'd like to use Pro features here too, you can upgrade the plan for this workspace alone.

On the Free plan, you can have only one workspace of your own. If you signed up for Pumpynotes yourself, that's the workspace created when you signed up; to create a new one, you'll first need to upgrade your plan to Pro or Business. If you signed up through an invitation, you can open a workspace of your own even on the Free plan.

Switch between workspaces
To switch, click the workspace button again and pick the workspace you want to go to from the list. The workspace you're in is highlighted and has a check mark next to it. The workspace you pick opens on its Overview page. Pumpynotes remembers the workspace you used last, so the next time you sign in, you pick up right where you left off.

You can also switch from the Workspace page in Settings. If you have more than one workspace, you'll see "Pick the workspace you want to manage" at the top of the page, with all their names side by side. Click one to switch to that workspace, and the page shows its settings.

On a phone, this button isn't in the top bar. Tap the profile button, tap the workspace name below your email address in the menu that opens, and pick the workspace you want to switch to from the list.

Frequently asked questions

How many workspaces can I have?

It depends on your plan: you can open 1 workspace on the Free plan, 2 on the Pro plan and 5 on the Business plan; if you signed up yourself, the workspace created when you signed up is one of them. On the Enterprise plan, this number is set to fit your needs.

This limit applies only to the workspaces you own. For example, if a coworker invites you to their company's workspace, you can join even if you're on the Free plan, and your own workspace stays right where it is.

Does my Pro subscription apply to the new workspace too?

No. The plan belongs to the workspace: your Pro subscription stays with the workspace where you started it, and a new workspace you open starts on the Free plan. If you'd like to use Pro features in the new workspace too, you'll need to start a separate subscription for that workspace. You'll find the details on payments and subscriptions in the Payments, billing, and managing your subscription article.

Can I move a note or an event to another workspace?

No. Notes, events and transactions stay in the workspace where they were created; they can't be moved or copied between workspaces.

Can I export the data from all my workspaces at once?

No. An export covers only the workspace you're in. For each workspace, you'll need to switch to it first and then repeat the export. You'll find the steps in the Export your data article.
